Sharing a GeoTag tracker with a colleague or client

Introduction

There are two ways to share live tracking in GeoTag without giving someone full account access. You can add them as a user for ongoing access, or create a shareable link for temporary viewing. This guide explains when to use each option and how to keep access limited to what is needed.

Choose the right sharing method

Use the simplest option that fits the job. If someone only needs to view a tracker briefly, a shareable link is usually best. If they need to check the same tracker regularly, add them as a user and assign the relevant tracker permissions.

• Shareable link: best for temporary viewing by a colleague, client or contractor.
• New user: best for ongoing access where the person needs to return to the tracker repeatedly.
• Limited permissions: best practice for both options, so people only see the trackers they need.

Share a tracker with a temporary link

Use a shareable link when you want someone to view a tracker for a short period without creating a GeoTag account for them.

1. Open the tracker you want to share in GeoTag.
2. Select the option to create or share a live tracking link.
3. Set how long the link should stay active.
4. Copy the link and send it to the colleague or client.
5. Check the expiry time and remove the link early if it is no longer needed.

Good practice for temporary links

• Set the shortest expiry time that still covers the task.
• Only share the tracker that is needed.
• Avoid sending the link in open group chats unless that is intended.

Add a user for ongoing access

If the person needs regular access, add them as a user in your GeoTag account and give them only the permissions they need for the relevant tracker or trackers.

1. Go to your user or team management area in GeoTag.
2. Select the option to add a new user.
3. Enter their details and send the invitation.
4. Assign access only to the trackers they need to view.
5. Review the permissions before confirming.

Good practice for user access

• Keep access as limited as possible.
• Use named users rather than shared logins.
• Remove access when the person no longer needs it.

When to remove or expire access

Access should always be time-limited where possible. Expire temporary links as soon as the viewing period ends, and remove user access when a colleague, client or contractor no longer needs to see the tracker.
