Introduction
Use this guide to prepare a GeoTag tracker for a hire item before it leaves your depot, and to reset it cleanly when it comes back. A tidy handover helps you keep accurate records, track the item properly, and give the next customer reliable live location data.
Prerequisites
Before you begin, make sure you have access to the GeoTag app and the tracker you want to assign. If the tracker is powered, check that it is charged or connected correctly. You should also know which hire item, customer or job the tracker needs to be linked to.
Step-by-step instructions
1. Check live tracking is working
Verify that the tracker is reporting a live location, that the last seen time is current, and that any geofence alerts are active where needed. If the item is being handed over to a customer, this is the best time to confirm the tracker is showing the expected status.
2. Update the asset details
Update the asset name or reference fields if anything has changed since the last hire. Keep the record clear and consistent so your depot, operations and customer-facing teams are all working from the same information.
3. Confirm the tracker is active on the new item
Check that the unit is marked as active on the new hire item and that the correct tracker is attached to the correct asset. If you use multiple trackers, make sure there is no duplicate assignment.
4. Prepare powered trackers before dispatch
Make sure the unit is charged or connected correctly before the item leaves. If the tracker relies on vehicle power or another external source, confirm the connection is secure and working as expected.
5. Review the return and prepare for the next handover
When the item comes back, review the tracking history, note any issues and clear down anything that should not carry over to the next hire. Then prepare the tracker for the next handover so the record is ready for reuse.
Tips and best practices
- Label the tracker before dispatch, not after the item has already left the depot.
- Check live location and last seen time every time you hand over a tracked item.
- Record damage, missing parts or tracker issues before the next hire.
Next steps
If the tracker is not reporting correctly, check the device status in the GeoTag app and confirm the power source or battery level. If you still need help, contact support with the asset name, tracker ID and a short description of the issue.
